Effective date: May 24, 2026

At Orbityns, we are committed to protecting your privacy. This Privacy Policy describes how Orbityns ("we," "us," or "our") collects, uses, and shares your personal information when you use our AI Automated Lead Response System, our website, and associated services (collectively, the "Services").

1. What Information Do We Collect?

We collect personal information that you provide directly to us, information collected automatically when you use our Services, and information from third-party sources.

Google API Disclosure

Orbityns' use and transfer of information received from Google APIs to any other app will adhere to Google API Services User Data Policy, including the Limited Use requirements. We access your Google account data (such as email content and calendar events) solely to provide lead response automation and scheduling services. This data is not used for generalized AI training outside of your specific instance.

2. How Do We Process Your Information?

We process your personal information for a variety of reasons, depending on how you interact with our Services, including:

  • To facilitate account creation and authentication and otherwise manage user accounts.
  • To deliver and facilitate delivery of services to the user.
  • To respond to user inquiries and offer support.
  • To send administrative information to you.
  • To fulfill and manage your orders.
  • To enable user-to-user communications.

3. Legal Bases for Processing

We only process your personal information when we believe it is necessary and we have a valid legal reason (i.e., legal basis) to do so under applicable law, like with your consent, to comply with laws, to provide you with services to enter into or fulfill our contractual obligations, to protect your rights, or to fulfill our legitimate business interests.

GDPR and UK GDPR

If you are located in the EU or UK, we process your information under the legal bases of Consent, Performance of a Contract, Legal Obligations, and Legitimate Interests.

4. Sharing Personal Information

We may share your data with third-party vendors, service providers, contractors, or agents ("third parties") who perform services for us or on our behalf and require access to such information to do that work. Examples include payment processing, data analysis, email delivery, hosting services, customer service, and marketing efforts.

5. AI-Based Products

Our Services utilize advanced artificial intelligence models provided by third-party partners, including but not limited to:

  • OpenAI: Used for natural language processing and automated lead responses.
  • Google Cloud AI: Used for data analysis and predictive modeling.
  • Anthropic: Used for Claude-based safe and reliable AI interactions.

Your data may be processed by these sub-processors to generate responses. We ensure that our agreements with these providers prohibit the use of your personal data to train their global models without explicit opt-in.

6. Data Retention

We will only keep your personal information for as long as it is necessary for the purposes set out in this privacy notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements).

7. Data Security

We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure.

8. Minors

We do not knowingly solicit data from or market to children under 18 years of age. By using the Services, you represent that you are at least 18.

These may include the right (i) to request access and obtain a copy of your personal information, (ii) to request rectification or erasure; (iii) to restrict the processing of your personal information; and (iv) if applicable, to data portability.

10. Do-Not-Track

Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected.
